Our client needed a system that could keep pace with a packed calendar of large-scale events.
Thousands of quotes and procurements had to be processed quickly, across multiple departments and vendors. Existing methods were slowing things down and creating visibility gaps between teams.
The challenge was to build a quote and procurement system that supported speed, compliance, and clear reporting at scale.

The Solution
Our Digital Operations Department developed a cloud-based digital system to manage quotes, launched in 2022, and developed further every year since.
Automation drove the process forward – once a quote was approved, the system triggered next steps. POs were raised, compliance documents requested, and inductions issued, ensuring nothing was missed.
In 2023, we expanded the system to cover procurement.
This gave 20 departments secure access to their own procurement submissions, while live dashboards tracked activity across the organisation.
Workflows and reporting were automated, auditing was simplified, and archives remained fully accessible.
